CANCELLATION & RESCHEDULING POLICY

1. Purpose

This policy ensures fair treatment for both clients and our organizing team while maintaining scheduling efficiency.

2. Cancellation Notice Requirements

We understand that life happens, but cancellations impact our ability to serve other clients. We require notice to minimize disruption.

3. Cancellation Fee Structure

More than 48 Hours Notice:

  • No cancellation fee

  • Full refund of any deposits paid

  • Free rescheduling to available dates

24-48 Hours Notice:

  • 50% cancellation fee of scheduled session

  • Remaining deposit refunded or applied to rescheduled appointment

  • One free reschedule permitted

Less than 24 Hours Notice:

  • 100% cancellation fee of scheduled session

  • No refund of deposits

  • Additional deposit required for rescheduling

Same-Day Cancellation or No-Show:

  • Full session fee charged

  • No refund of deposits

  • Future services may require full prepayment

4. Rescheduling Policy

First Reschedule:

  • Free with 48+ hours notice

  • Subject to availability

  • Must be rescheduled within 90 days

Multiple Reschedules:

  • Second reschedule may incur $50 administrative fee

  • Three or more reschedules may require full prepayment

  • Excessive rescheduling may result in service refusal

5. Emergency Exceptions

We understand genuine emergencies occur. Cancellation fees may be waived for:

  • Medical emergencies (documentation may be requested)

  • Death in immediate family

  • Natural disasters or severe weather

  • Home emergencies (flooding, fire, etc.)

Contact us immediately if an emergency arises. We'll work with you compassionately.

6. Weather-Related Cancellations

Severe Weather:

  • If we cancel due to unsafe conditions, no fees apply

  • You may cancel without penalty if travel advisory issued

  • We'll reschedule at earliest mutual convenience

7. Our Cancellation Rights

We reserve the right to cancel if:

  • Unsafe working conditions exist

  • Client behavior is abusive or inappropriate

  • Payment issues or bounced checks occur

  • Access to work areas is not provided

In such cases, you'll receive a full refund minus any completed work.

8. Multi-Day Projects

For projects spanning multiple days:

  • Cancellation policy applies to each scheduled day

  • Partial project completion will be invoiced

  • Remaining days can be rescheduled per standard policy

9. Deposit Policy

Initial Deposits:

  • May be required to secure scheduling

  • Typically 25-50% of estimated project cost

  • Applied to final invoice

  • Refundable per cancellation policy terms

Deposit Forfeiture:

  • Deposits are forfeited with less than 24-hour notice

  • Multiple cancellations may result in deposit forfeiture

  • Forfeited deposits cannot be applied to future services

10. How to Cancel or Reschedule

Notice Timing:

  • Notice is considered received when we confirm receipt

  • Weekend/holiday notices processed next business day

11. Late Arrivals

Client Late Arrival:

  • Grace period: 15 minutes

  • Session shortened to original end time

  • Full session fee applies

  • Excessive lateness may be treated as cancellation

Our Late Arrival:

  • We extend session to full scheduled time

  • Discount applied if we're more than 15 minutes late

  • Complimentary additional time for significant delays

12. Recurring Appointments

For clients with regular maintenance appointments:

  • One free cancellation per quarter

  • Advance notice appreciated for scheduling efficiency

  • Excessive cancellations may result in loss of preferred time slot

13. Virtual Consultations

Same cancellation policy applies to virtual appointments:

  • 48-hour notice required

  • Technology issues are not valid cancellation reasons

  • We'll help troubleshoot before appointment time

14. Special Circumstances

Extended Illness or Recovery:

  • We'll hold your spot when possible

  • Flexible rescheduling without fees

  • Services can be paused and resumed

Moving Date Changes:

  • Understand moving dates often shift

  • Two free reschedules for moving-related services

  • Subject to availability

15. Refund Processing

Approved refunds are processed:

  • Within 5-10 business days

  • To original payment method

  • Minus any applicable fees per this policy

16. Disputes

If you disagree with a cancellation fee:

  1. Contact us immediately to discuss

  2. Provide relevant documentation

  3. We'll review and respond within 3 business days

  4. Final decisions rest with management
